HelpDocs vs WordPress
The cheapest license, and the most work. Here is the honest trade.
The verdict
WordPress can absolutely run a knowledge base, and with a plugin like Heroic KB or BetterDocs it can run a good one.
What you are really choosing is who does the work: WordPress hands you complete control of the template and a very low license cost, and hands you hosting, updates, plugin compatibility and performance along with it. HelpDocs takes those away and takes the control with them.
HelpDocs is best for
Support and documentation teams who want a help center running this week and do not want to own a hosting stack, a plugin upgrade path, or a security surface. If nobody on the team wants to be the person who fixes the site when a plugin update breaks the theme, that is the argument.
WordPress is best for
Teams who already run WordPress well, have someone who genuinely enjoys it, and want the docs to live inside a site they control completely. If your marketing site is already WordPress and your team knows the block editor, adding a knowledge base plugin is a very reasonable call and much cheaper on license cost.

AI & search
How well the knowledge base answers questions and deflects tickets on its own.
| Feature | HelpDocs | WordPress |
|---|---|---|
| AI answers from your articlesNot in core, and it depends which plugin you buy. Heroic KB Pro + AI at $599/year ships an on-site AI assistant that answers from your docs, and the BetterDocs AI Chatbot is a separate $69/year add-on on top of BetterDocs Pro. | Yes | Limited |
| AI included in the base subscriptionThere is no base subscription. The BetterDocs AI Chatbot is a separate $69/year add-on that also needs your own OpenAI integration, and Heroic KB puts its AI assistant on the top tier only. | Yes | No |

| AI agent that resolves live conversations | No | No |

| Remove vendor branding (white-label)It is your site. Plugins add their own marks, and BetterDocs documents how to turn its label off. | No | Yes |

Access & permissions
Who can read and edit what, and whether the platform meets security reviews.
| Feature | HelpDocs | WordPress |
|---|---|---|
| Private or internal knowledge baseNot in core. BetterDocs Pro includes an internal knowledge base and Heroic KB Plus adds internal-site support and user restriction, so the knowledge base plugin usually covers it now rather than a separate membership plugin. | Yes | Limited |
| Unlimited free reader accountsHelpDocs: Anonymous readers of a public help center are unlimited and free. Gated or authenticated readers can cost extra. | Yes | Yes |
| Content-level permission groupsHeroic KB Plus can lock the whole knowledge base, one category or a single article to logged-in users, and BetterDocs has user role management. Anything finer means a membership plugin, and you own the edge cases. | Yes | Limited |
| SSO and SAMLAvailable via plugins, often paid. | Yes | Limited |
| SCIM user provisioningHelpDocs: HelpDocs has limited SCIM provisioning, alongside SAML, OIDC, and JWT SSO. | Limited | No |
| Audit trailActivity-log plugins cover most of it. | Yes | Limited |
Analytics
Understanding what readers search for, what works, and where content is failing.

| IntegrationsThe plugin ecosystem is the biggest of any platform here. | Yes | Yes |
| Help desk integrations (Intercom, Zendesk)Via plugins or embed snippets. | Yes | Limited |

| Built-in live chat and messengerPlugins exist; nothing is built in. | No | No |
| Built-in ticketing and shared inboxSupport-desk plugins exist and are a separate product. Heroic Inbox, from the same vendor as Heroic KB, is $199/year on its own. | No | No |

Pricing
Pricing, side by side
WordPress is not one price, it is a stack. Plugin pricing below is from each vendor's own pricing page as of September 2026, at the regular rate rather than the promotional one, because both vendors say renewals go back to full price. All figures are USD. Hosting is yours to choose and yours to pay for, so we have not invented a figure for it.

WordPress core

BetterDocs Pro, Starter
1 active site, one year of updates and support. Unlimited sites is $149/year on Innovator, or $299 once on Visionary for lifetime updates.
Heroic KB, Essential
1 site. Plus is $349/year for 3 sites and adds search analytics, empty-search reporting and article feedback. Pro + AI is $599/year for 5 sites and adds the Heroic AI Assistant.
BetterDocs AI Chatbot add-on
Or $8.99/mo, for 1 website. Requires BetterDocs Pro, and integrates with OpenAI.
Hosting, backups and CDN
Whatever you provision, from shared hosting to managed WordPress. Not included above.
Someone to maintain it
Updates, plugin conflicts, security patches and performance are yours.
The bottom line: As of September 2026, WordPress wins outright on license cost, and it is not close. A knowledge base plugin is $69 to $169 a year for one site against $129/mo for HelpDocs, and even adding the BetterDocs AI Chatbot at $69/year keeps the whole stack under $250 a year. The honest comparison adds hosting and the hours somebody spends keeping it healthy, which is the part teams underestimate. If you have that person and they want the job, WordPress is cheap; if the job would land on a support lead who does not want it, it is not.
Switching
Switching from WordPress
Getting content out of WordPress is straightforward, because it is your database and your files. The two jobs that need care are structure and URLs. WordPress knowledge base plugins each model categories their own way, so expect to reorganize rather than lift and shift. And if your docs have been live and ranking, map every old URL to its new one before you switch, or you will hand back the search traffic those pages earned. Our migrator suite takes a crawl of your live site, which is often the quickest route out of a WordPress setup, since it reads the published pages without needing database access or a working export.
- 1Export your articles, or point a crawl at the live knowledge base section of your site.
- 2Decide the category structure you actually want rather than reproducing the plugin's.
- 3Import, then check formatting on the articles that used plugin-specific shortcodes, because those will not carry over.
- 4Map old URLs to new ones and set up redirects before changing where the docs live.
- 5Point your subdomain or path at the new help center, and keep the WordPress site for everything else.
Honest trade-offs
Why teams pick one over the other
Why teams choose HelpDocs
- Nothing to host, patch or update. No plugin conflicts, no PHP version to worry about, no site to take down.
- AI credits are in every plan, with AI drafting, rewriting and Ask AI on every plan, rather than a $69/year chatbot add-on that needs your own OpenAI key or the $599/year Heroic KB tier.
- Failed-search reporting on every plan, where on WordPress the empty-search report arrives with Heroic KB Plus at $349/year and core reports nothing at all.
- A flat price whatever the traffic, where a self-hosted help center adds hosting, backups and CDN that scale with how popular it gets.
- A help center that is live the same day, without picking a theme, a search plugin and an analytics plugin first.
Why teams choose WordPress
- Far cheaper on license cost. A knowledge base plugin is a fraction of any hosted subscription.
- Complete template control, because it is your code and your server. Nothing is off limits.
- The largest plugin ecosystem of any platform here, so an unusual requirement usually has an answer.
- Docs live inside the site you already run, on the domain you already own, with one CMS to learn.
- The block editor is genuinely pleasant, and your marketing team probably already knows it.
- No vendor to depend on. If we went away tomorrow your WordPress site would carry on working.
